Introduction
NextFireSync (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our ERPNext context panel for Outlook and Gmail.
NextFireSync is not a background synchronisation service. The panel loads ERPNext data on demand for the email you have open. We do not copy your mailbox, calendar or contacts between systems in the background.
Information We Collect
Account and authentication
- Account information: Name, email address, organisation name and contact details you provide when signing up
- Authentication data: Firebase ID tokens and related session data for secure access to the service
- ERPNext credentials: Your ERPNext URL and API key/secret, stored encrypted at rest (AES-256-GCM)
Panel usage data
- Sender address of the email you have open (used only to look up matching Contact, Customer or Lead records in your ERPNext)
- Usage metrics: Billable write counts and plan limits for subscription metering
- Support messages: Content you send via the contact form or email
What we do not collect as a sync product
We do not run background jobs that sync Outlook/Gmail contacts, calendar events or full mailbox content into NextFireSync. Mailbox content stays with Microsoft or Google; only the data needed for the on-demand panel lookup and for writes you explicitly trigger (for example creating a ToDo) is processed.
How We Use Your Information
- Service delivery: Show ERPNext context in the panel and perform writes you request (contacts, ToDos, Tasks, email attach/save)
- Account management: Manage subscriptions, organisations and support
- Security: Authenticate users, enforce tenant isolation and monitor for abuse
- Communication: Service updates, security alerts and replies to your support requests
Data Security
- Encryption in transit (TLS) and ERPNext secrets encrypted at rest with AES-256-GCM
- Strict organisation isolation on every API request
- Access limited to what is required to operate the service
